Work with Tags in Postsale
Learn how tags can be used to organize your orders, in automation, and for analytics
In This Article
Tags give you a flexible way to organize your orders and track the details that matter to your business. In this article, we will explore ways you can use tags to organize your orders, view additional order details in the Orders Grid, automate your workflow, and create widgets to add to your Dashboard.
Before We Begin
If you haven't already, it may be helpful to add your own tags to Postsale and apply them to the relevant orders. While this article is more of an introduction to how tags might be used in Postsale, having a few of your own tags associated with orders will let you try out the suggestions in this article.
Ways to Use Tags
Below are some great ways that tags can help you search for and organize your orders, automate repetitive tasks, and view the order details that matter most to your business. This isn't a step-by-step guide. Instead, it introduces you to some helpful ideas. Each section will point you to step-by-step guides related to that section's topic.
Add Tags as Orders Grid Columns | Sort by Tags
All tags, both Postsale's built-in tags and the ones you create, can be added as a column in the Orders Grid. This makes order details visible at a glance.
Once the columns are added, you can quickly sort orders by those columns just by clicking the column header. Need to see which orders have shipment protection? Sort your orders by your Insured tag.
This screenshot shows three added columns:
- PO Number: (built-in tag)
- Sales Rep: (manually added tag) Displays the order's sales rep ID.
- Insured: (manually added tag) Indicates whether shipment protection is applied to the shipment. The grid is sorted by the Insured column.

Search for Orders and Create Filters with Tags
Search for Tags
Use Postsale's search functionality to find orders with a Simple Search or a Natural Language Search, or create a Filters Search when you need to drill down on groups of orders that match specific search criteria. Then, save your search as a Filter in the Orders Menu.
Here's an example of an advanced search that shows orders with the manually added Insured tag. This is a great way to quickly locate all orders with shipment protection applied to the shipment.

Here's a Tip
When setting up a Filters Search for tags, the tags appear in the conditions list as Order [Tag Name], like Order Insured or Order Sales Rep.

Save the Search as a Filter
Go a step further and save your search as a Filter. Think of a Filter as a saved Filters Search. Instead of rebuilding the same search each time, you simply click the Filter, and the matching results appear in the Orders Grid. This makes it super quick to locate orders with a specific tag or group of tags.

Use Tags to Automate Tasks
Users on the Expand, Thrive, or Soar plan can use Postsale's Automation features to streamline repetitive, time-sensitive tasks so nothing falls through the cracks. Think of Automation as a built-in assistant working behind the scenes, automatically responding to shipment events, updating workflows, and sending the right communication at the right time.
REAL-WORLD EXAMPLE
We would like Postsale to automatically add our manually added Exception tag to any order whose tracking status changes to Exception, automatically send an email to our customer to inform them of the exception, and show the order in our Shipping Exceptions Filter.
With automations, you can do that.
First, you add an automation that tells Postsale, "When a label's tracking status is changed to Exception, add the tag Exception to the order and send an email to the customer."
If you have a Filter created (see the section above this one) for orders with the Exception tag, the order will appear in the Filter as soon as the automation runs.
The automation looks like this:

This is just one example. You can use triggers to do things like:
- "When a tag is added to an order, do this."
- "When a tag is removed from an order, do this."
- "When this certain thing happens, add a tag to the order."
- "When this certain thing happens, remove a tag from the order."
You can even stack your automations so that they trigger one another, like:
-
"When this certain thing happens, add a certain tag to the order."
- Then, "When a certain tag is added to an order, do this for me."
By getting creative with how you use tags to automate your workflow, you can save a lot of time and make sure tasks don't fall through the cracks.

Analytics Using Tags
The Postsale Dashboard helps you visualize what matters most by giving clear, actionable insights into your shipping and sales activity at a glance. With flexible, customizable widgets, the Dashboard lets you monitor key metrics and trends, so you can focus on what drives your business forward.
You can add and customize widgets on the Dashboard to show you specific tag-related information.
REAL-WORLD EXAMPLE
We would like a quick way to see how many shipped orders still in transit have shipment protection.
By customizing your own widget on the Dashboard, you can do that. Here's the simplified version of how it works:
Create a Filter
First, you create a Filter for the specific orders.
- Start out on the Orders Grid with All Orders selected.
-
Create an advanced search to find orders that:
- Contain the Insured tag. (The Insured tag was manually added to our list of available tags.)
- Have an order status of Shipped.
- Do not have a label tracking status of Delivered.

- Save your search as a Filter.
Add Your Widget to the Dashboard
Then add and customize a widget on the Dashboard to show the number of orders currently in the Filter you just created.
- Switch to the Dashboard.
- Choose + Add Widget.

- Select the Orders widget to add it to the Dashboard.

- Edit the newly added Orders widget by giving it a name and selecting the Insured Shipments in Transit Filter you just created.

The widget now displays the total number of shipments in transit with shipment protection.
This is just one example to get you thinking about how the Dashboard, widgets, and tags can show you key metrics important to your business.
