An order’s notes can be used to trigger an Automation when a note is added, updated, or deleted.

In this article, we’ll use order notes and Automations to help track orders with backordered items. We’ll create two Automations that:

  1. Change an order’s status to Backordered when a note is added to the order that includes the word ‘backordered’.
  2. Change the order’s status from Backordered to Ready to Ship when a note containing the word 'backordered' is deleted.

The steps to create both Automations are nearly identical, with only a few minor differences. Specifically, the automation names and a few field values will vary. We’ve marked the steps that differ slightly with an asterisk (*).

1 - Change an Order's Status When a ‘backordered’ Note is Added 

First, let's add an Automation that tells Postsale…

“Hey Postsale, when I add a note to an order that includes the word ‘backordered’, change the order's status to Backordered for me.”

Real-World Example

We often have orders with backordered items. As part of our workflow, we add a note to these orders so that our shipping department is aware that there are backordered items:

“Items are backordered. Do not ship.”

To make these orders easier to identify, we would like the Order Status to automatically update to ‘Backordered’ when the note is added.

Here's how to create the Automation:
You can view how to create a note-based automation below.

  1. Go to Settings > Account Settings.
  2. Select Automation.
  3. Click Add.
  4. *Enter a name for your automation into the Name field.
    For our example, we will enter the name Note - Update Status to Backordered to help make it clear what the action does.
  5. *Expand the Trigger drop-down menu and select An order note is created.
  6. Click Add a condition and select Condition.
  7. Configure the condition so that:
    1. Field - Select Order Note from the drop-down menu.
    2. Operator - Select Includes from the drop-down menu.
    3. *Value - Enter backordered into the field.
  8. Click Save.
    The condition is displayed for you.
  9. Click Add an action.
    The New Action pop-up opens with the Task set to Update the Order Status.
  10. *Enter Backordered into the Status field. Then, click Save.
    The action is displayed for you.
  11. Click Save to save your new automation.
    The automation is now created and shown in the list of automations.

Now, when a note containing the word backordered is added to an order, the order's status will automatically be updated to Backordered.

2 - Change the Status to ‘Ready to Ship’ When a ‘backordered’ Note is Deleted

Now, let's create an automation to tell Postsale…

“Hey Postsale, change the order's status to Ready to Ship when I delete a note that contains the word ‘backordered’.”

Real-World Example

Once all items are in stock, we delete the note stating that the order has backordered items to indicate that all items are in stock and the order can be fulfilled.

To make these orders easier to identify for our shipping department, we would like the Order Status to automatically update to ‘Ready to Ship’ when the note is deleted.

Here's how to create the automation:

  1. Go to Settings > Account Settings.
  2. Select Automation.
  3. Click Add.
  4. *Enter a name for your automation into the Name field.
    For our example, we will enter the name Delete Note - Update Status to Ready to Ship to help make it clear what the action does.
  5. *Expand the Trigger drop-down menu and select An order note is deleted.
  6. Click Add a condition and select Condition.
  7. Configure the condition so that:
    1. Field - Select Order Note from the drop-down menu.
    2. Operator - Select Includes from the drop-down menu.
    3. Value - Enter backordered into the field.
  8. Click Save.
    The condition is displayed for you.
  9. Click Add an action.
    The New Action pop-up opens with the Task set to Update the Order Status.
  10. *Enter Ready to Ship into the Status field. Then, click Save.
    The action is displayed for you.
  11. Click Save to save your new automation.
    The automation is now created and shown in the list of automations.

Now, when a note containing the word backordered is removed, the order's status will automatically update to Ready to Ship.

View Creating a Note-based Automation

For demonstration purposes, this short video shows how to create the Automation for “Change an Order’s Status When a ‘backordered’ Note is Added.”

The same steps apply when creating “Change the Status to ‘Ready to Ship’ When a ‘backordered’ Note is Deleted.” Just be sure to update the Automation name and field values accordingly.
