What Is Automation?

Fulfilling orders isn't just about creating shipping labels and getting packages out the door. It's about managing everything that happens before, during, and after a shipment moves through the post-purchase workflow.

That includes monitoring order status, tracking shipments in transit, confirming deliveries, and keeping customers informed at every step.

This is where Automation comes in.

Postsale’s Automation features help you streamline these repetitive, time-sensitive tasks so nothing falls through the cracks. Think of Automation as a built-in assistant working behind the scenes, automatically responding to shipment events, updating workflows, and sending the right communication at the right time.

The result? A smoother shipping process for you and a better post-purchase experience for your customers.

A Quick Automation Overview

Creating custom automations is a premium feature requiring an Expand, Thrive, or Soar billing plan. Learn more about managing your Postsale account in our Frequently Asked Questions.

Triggers & Actions

When you create a custom Automation in Postsale, you are telling Postsale, 

“Hey, Postsale, when this certain thing happens (the Trigger) I need you to do something for me (the Action).”

For example, you might set up an Automation that says: 

“ When I create a shipping label, update the order's status to Shipped.” 

The Automation looks like this in Postsale.

A single Automation can run multiple Actions. For example, in addition to updating the order's status to ‘Shipped’, you could add another Action to send an email to your customer notifying them that their order is on the way.

The automation now shows two actions.

When an Automation includes multiple Actions, those Actions run in the order they appear. In the example above, the order status is first updated to Shipped, and then the email is sent to the customer. The sequence matters.

In this case, the status must be updated before the email is sent because the email references the order's current status. If the Actions were reversed, the email could reflect outdated information.

You can change the order in which Actions run at any time by dragging and dropping them into the desired sequence.

Conditions

You can also tell Postsale to perform the Automation only under certain Conditions. A condition allows you to clearly define the exact circumstances under which the Automation should be performed. For example, 

“When I create a shipping label, only for St. Louis Dog Savers orders (the Condition), set the order's status to Shipped and send an email.” 

In this case, the Automation in Postsale looks like this:

A condition has been added to the automation.

This example introduces how Conditions control exactly when an Automation runs. Instead of triggering every time an event occurs, you can define the precise circumstances that must be true first.

Postsale's conditional logic supports Condition Groups, subgroups, and flexible AND/OR logic, allowing you to build highly specific workflows tailored to your business.

Why Should I Create Automations?

Good question! As you can see, Automations are a powerful tool in your arsenal. By defining when something should happen, what should happen, and under what circumstances it should happen, you can tell Postsale to automate many of the repetitive tasks that you would otherwise have to manually perform. Automations:

  • Save time
  • Increase efficiency
  • Ensure accuracy and consistency

Examples & Use Cases

Let’s explore a few real-world examples and walk through how to create Automations for each use case. The goal is to empower you with the basic knowledge of how Automations are created, so you can create the Automation you need for your specific workflow.

Modifying or adding automations in Postsale might lead to unexpected changes in your shipping workflow. We recommend reviewing your current automations before making any updates.

 

About the Automation Examples

Did you know that Postsale offers two ways to create Automations?

  • Manually - You can create each automation manually. This is a great option when you want as much control as possible over creating your automations, or when you need to modify an existing one.
  • Configure with AI - Use this option when you want to describe the automation you need in plain, natural language, and let Postsale configure it for you.

Below, we show you both ways to create the two example Automations. Just expand the corresponding section for detailed instructions for each method.

 

Manually - Update Order Statuses

Real World Example

We would like to always know where our orders are in the shipping workflow by automatically updating an order’s status when certain tasks, such as creating a shipping label or voiding a shipment, are performed.

We can accomplish this by setting up an Automation to change an order's status when we ship or void an order. 

Here's how:

The steps in this section will guide you through using Postsale's Automation features to update order statuses so that you learn how to configure this type of Automation. It is also worth noting that you can configure your individual store settings to automatically update order statuses when an order is shipped or voided.

Procedure: Settings > Account Settings > Automation

  1. Go to Settings and select Account Settings.


     
  2. Select Automation from the Account Settings menu.

  1. Name the automation.
  2. Click the Add button.  
  3. Expand the Trigger drop-down menu and select A shipment is processed or A shipment is voided, depending on the Automation you need.
  4. Click Add an Action.
  5. Click the Task drop-down menu and select Update the order status. 
  6. Enter the status into the Status field. Then, click the Save button.    
    For this example, we entered Shipped, but you can enter any status that works for the Automation you are creating. 
  7. Click Save.

    The Automation is added to the list of automations.

(optional) Add Conditions

Tell Postsale to run an Automation only under certain conditions. For example, let's say that we only want this Automation to run for orders from a specific order source (for this example, orders for Dog Saver Promo). We could add a Condition:

  1. Click + Add Condition.
  2. Configure the Condition as > Equals > [Your Order Source]   

With the Condition added, Postsale will only run this Automation for our Dog Saver Promo orders.

Configure with AI - Update Order Statuses

When creating automations with AI, you'll want to write them in plain, natural language. In fact, that's how you'll tell Postsale exactly what you need the automation to do.

Let's create the automation from the previous section using AI. For this automation, the prompt might look like this:

When a label is created for the store Dog Saver Promo, change the order's status to Shipped.

Here's how to create the automation using AI:

  1. Go to Settings and select Account Settings.
  2. Select Automation.
  3. Click Add.

    Navigation to settings, account setting, automations. Click Add.
     
  4. (optional) Enter a Name for the Automation.
    If you leave the Name field blank, Postsale will generate a descriptive name for you.

    A name is entered for the automation.
     
  5. Select Build a workflow with AI.

    Build a workflow with AI is being clicked.
     
  6. Describe what you want your automation to do in plain English. Then, click Generate.
    The AI will draft a workflow you can review and edit before saving.

    A prompt has been entered and the generate button is being clicked.

    Postsale uses the prompt you entered to set the trigger, conditions, and actions for you.
     
  7. Review the Trigger, Conditions, and Actions to ensure they are correct. Then, do one of the following:
    1. Everything looks good: Click Accept to let Postsale know the Automation was created correctly.
      The accept button is being clicked.

      After clicking Accept, you can scroll down to review or edit the options that were generated for you.

      Scroll down to review the automation settings.
       
    2. Not quite correct: In this case, you can update the automation description as needed and click Regenerate to update the trigger, conditions, and actions. You can do this multiple times, if needed.

      The description is updated and the regenerate button is clicked.
       
  8. After clicking Accept to confirm the automation is configured correctly, click Save.

    The save button is being clicked.
     

The Automation is created and added to the list of automations.

The new automation is shown in the list of automations.

 
 

Manually - Handle Shipping Exceptions

Real World Example

We would like Postsale to notify us via email any time a label's tracking status changes to ‘Exception’. We would also like to update the order's status in Postsale so that it is easier to identify orders with delivery exceptions. This will help us monitor shipments and to determine if we need to assist our customer with handling the issue.

This can be done with a single Automation that performs two separate actions. Here's how:

Specify When the Automation Runs

Procedure: Settings > Account Settings > Automation

  1. Go to Settings and select Account Settings.


     
  2. Select Automation from the Account Settings menu.

  1. Name the Automation. 
  2. Click the + Add button. 
  3. Select A label's tracking status has changed from the Trigger drop-down menu.    
  4. Select Exception from the To drop-down menu.

Add the Action to Update Order Status

  1. Click the + Add Action button in the Then perform these actions section.     
  2. Select Update the order status from the Task drop-down.    
  3. Enter Exception into the Status field. Then, click Save.

Add an Action to Send an Email

  1. Click the + Add Action button in the Then perform these actions section again.     
  2. Select Send an email from the Task drop-down menu. 
  3. Select the Invoice template from the Template drop-down menu.   
    An invoice with the details of the order will be included in the body of the email.   
  4. Postsale users on either the Thrive or Soar plan can select the From email address to use for this automation. 
  5. Enter the email subject in the Subject field. We suggest using a Postsale token to autofill the order number, making it easier to identify which order has a shipping exception.
    For example: Exception for order# {{ order.number }}
  6. Enter the email address to which the email should be sent in the Recipient field. Then, click Save.  
    Multiple emails can be entered, separated by commas. You can leave the checkbox checked. 
  7. Click Save.

Click Save to save the Automation. It is added to the list of automations.

(optional) Add Conditions

Tell Postsale to run an Automation only under certain conditions. For example, let's say we only want to check exceptions for orders shipped via FedEx. We could add a Condition:

  1. Click + Add Condition.
  2. Configure the Condition as Shipment Carrier > Equals > FedEx.     

With the Condition added, Postsale will only run this Automation when a label's tracking status is updated to 'Exception' and the associated carrier is FedEx.

 

Here's an Idea!

Why not set up individual Automation for each tracking status? You could have Automation for In Transit, Out for Delivery, Exception, Delivered, etc.

Configure with AI - Handle Shipping Exceptions

Let's use AI to create the automation we configured manually in the previous section, Handle Shipping Exceptions.

We'll use the following description to let Postsale know what we'd like the automation to do:

When a label's tracking status has changed to 'Exception', update the order's status to Exception. Also, send an email with a Subject of Delivery Exception, use the Invoice template, use the default from address, and set the recipient to shippingdepartment@email.com.

  1. Go to Settings and select Account Settings.
  2. Select Automation.
  3. Click Add.
  4. (optional) Enter a Name for the Automation.
    If you leave the Name field blank, Postsale will generate a descriptive name for you.

  6. Describe what you want your automation to do in plain English. Then, click Generate.
    The AI will draft a workflow you can review and edit before saving.
  7. Review the Trigger, Conditions, and Actions to ensure they are correct. Then, do one of the following:

Manually - Package Is Out for Delivery

Real World Example

We would like to send an email to our customers to let them know that their order is out for delivery.

We will set up an Automation so that when the tracking status changes to Out for Delivery, Postsale will send your customer an email. 

Specify When the Automation Runs

Procedure: Settings > Account Settings > Automation

  1. Go to Settings and select Account Settings.


     
  2. Select Automation from the Account Settings menu.

  1. Give the automation a Name. 
  2. Click the + Add button. 
  3. Select A label's tracking status has changed from the Trigger drop-down menu. 
  4. Select Out for Delivery from the To drop-down menu.

Add an Action to Send the Email

  1. Click the + Add Action button in the Then perform these actions section.
  2. Select Send an email from the Task drop-down menu. 
  3. Select the Invoice template from the Template drop-down menu.   
    An invoice with the details of the order will be included in the body of the email.  

    Custom Email Templates

    Postsale users on the Thrive or Soar plan can create and use custom email templates.

     
  4. If you are on either the Postsale Thrive or Soar plan, you can select the From email address to use for this automation. 
  5. Enter the email subject in the Subject field. We suggest using a Postsale token to autofill the customer's order number. 
    Here is an example:  Your Order# {{ order.number }} Is Out For Delivery!
     
  6. Select the email address to which the email should be sent by clicking the (<>) icon in the Recipient field. Then, select either Order Ship To Email, Order Ship From Email, or Shipment Email.

    After making your selection, a token populates the Recipient field. This token tells Postsale to use the email address associated with the order. 

    We suggest leaving the Skip sending email when recipient is blank option checked so that an email will not be sent if there is no email address associated with the order. 

    • Multiple emails can be entered, separated by commas. 
    • In the GIF, the Action is configured to send an email to the Ship To email address associated with the shipment and to our shipping department's email address. 
       
  7. Click Save to add the Send an email Action to the Automation.
  8. Click Save to save the automation.

(optional) Add Conditions

Tell Postsale to run an Automation only under certain conditions. For example, let's say that we fulfill orders for more than one brand (Dog Saver Promo and A Bit Fishy Aquarium Supplies). Each brand has its own branded ‘Out for Delivery’ email template. 

We could configure this Automation to send a Dog Saver Promo-branded email when the tracking status changes to ‘Out for Delivery’ only if the order is for Dog Saver Promo. We could then add a second Automation specific to A Bit Fishy Aquarium Supplies, and so on. 

  1. Click + Add Condition.
  2. Configure the Condition as > Equals > [Your Order Source].     

With the Condition added, Postsale will only run this Automation when a label's tracking status is updated to 'Out for Delivery' and the order source is Dog Saver Promo.

 

Here's an Idea!

You could add an additional Action to the Automation that updates the order's status to Out For Delivery in addition to sending the email.

Configure with AI - Package Is Out for Delivery

Let's use AI to create the automation we configured manually in the previous section, Package is Out for Delivery.

We'll use the following description to let Postsale know what we'd like the automation to do:

When a label's tracking status has changed to Out for Delivery, send an email using the Invoice template with the Subject 'Your Order# {{ order.number }} Is Out For Delivery!', use the default from address, set the recipient to the order ship to email address.

  3. Click Add.
