Add users to your Postsale account so your team and fulfillment partners can log in with access suited to their responsibilities. You can grant full access or use roles and permissions to limit access to specific tasks, such as viewing analytics on the Dashboard or shipping only the orders you specify.

This article guides you through adding and editing users, managing their permissions, and viewing user activity.

Before We Begin

Before adding a new user, it may help to outline which tasks they will perform, which areas of Postsale they need access to, and whether there are any specific orders they should or should not be able to access. This will help you define the role or permissions when adding the user.

Additional things to consider:

  • You must be logged into Postsale as the account owner to add or manage users.
  • To add and manage multiple users, you must be on the Grow, Expand, Thrive, or Soar plan.

Add Users

REAL-WORLD EXAMPLE

We have a fulfillment center that ships a specific set of item SKUs for one of our stores. We want to add a new Postsale user who can only configure shipments and ship orders, but only for the items we define and for orders for our Fern & Field Goods store.

Let's use the real-world example to set up a new user.

Email Address and User Name

  1. Open Settings and select Account Settings.

Settings is open and Account Settings is selected.

  2. Select Users.

    Users is selected.

  3. Click Invite.

The Invite button is being clicked.

  4. Enter the Email Address and Name of the person you wish to invite as a user.
    • The new user will get an email at this address with a link to set a password. The link is valid for seven days.
    • An email address can belong to one Postsale account. If this person already has their own Postsale account, they will need a different address to join yours.
    • The Name you enter will be displayed as the username in Postsale.

The email address and user name have been entered.

Define Access

Use the Access section to define what the new user can do and which areas of Postsale they can access.

  • Roles: Select a predefined role on the Role tab to automatically apply a set of defined permissions for the user.
  • Permissions: Use the Permissions tab to define the specific permissions and access you want to assign to the user.

In the real-world example above, we stated that the user should only have access to ship orders. So, for this example, we selected the Shipper role to apply the appropriate permissions.

The Roles tab is selected. The Shipper role is assigned to the user.

More information on roles and permissions is listed for you on the tabs below.

Roles

Select from four predefined roles:

  • Manager: Gives the user access to all 36 permissions for orders, shipping, carriers, settings, and reports.

  • Shipper: Gives the user access to the 18 permissions needed to create and print shipping labels for orders, such as selecting rates, buying and printing labels, scheduling pickups, and running end-of-day or closing manifests.

  • Read-only: Gives the user access to view all areas of Postsale, but the user cannot change or modify anything.

  • Dashboard: Gives the user read-only access to the Postsale Dashboard.

Define Specific Permissions

When you select a role on the Role tab, the permissions are set for you on the Permissions tab. Go to the Permissions tab to customize the specific permissions for the user.

Permissions

Use the Permissions tab to customize the new user’s permissions in granular detail. You can define access to Shipments and/or Orders.

The individual permissions are listed for you below:

Shipments

Shipments

  • Read Shipments: Look up and search shipments.
  • Get Rate Quotes: Compare carrier rates for a shipment. Costs the account nothing.
  • Create Shipments: Add new shipments, with their packages and addresses.
  • Edit Shipments: Change existing shipments, including adding and removing packages.
  • Delete Shipments: Remove shipments. They become unreachable, and this cannot be undone.

Labels

  • Read Labels: Retrieve labels and their tracking details.
  • Buy Labels (requires Edit Shipments): Purchase postage. Spends money against the account payment method.
  • Void Labels (requires Edit Shipments): Cancel a purchased label and request a refund.

Carriers

  • Read Carriers: See connected carrier accounts, their settings, and carrier drop-off locations.
  • Manage Carriers: Connect, edit, and disconnect carrier accounts. Disconnecting one stops every future shipment on it.

Pickups

  • Check Pickup Availability: Ask a carrier when it could collect. Currently FedEx only.
  • Schedule Pickups: Book a carrier collection. This sends a courier to the address.
  • Cancel Pickups: Cancel a booked collection.

Manifests

  • Read Manifests: See end-of-day manifests and which shipments are eligible.
  • Create Manifests: Close out the day by submitting a manifest to the carrier. This cannot be undone.

Addresses

  • Read Addresses: See saved ship-from addresses, and look up or autocomplete an address.
  • Manage Addresses: Add, edit, and remove ship-from addresses.

Shipping Rules

  • Read Shipping Rules: See the rules that pick a service and packaging, and what they would do for a shipment.
  • Manage Shipping Rules: Create, edit, and delete shipping rules.

Shipping Settings

  • Read Shipping Settings: See account-level shipping settings.
  • Manage Shipping Settings: Change account-level shipping settings.

Documents

  • Read Documents: Retrieve customs paperwork and commercial invoices attached to a shipment.
  • Manage Documents: Upload, replace, and remove customs documents.
  • Insurance
  • Read Insurance Claims: See claims filed against a shipment.

Orders

Orders

  • Read Orders: Look up and search orders.
  • Create Orders: Add new orders, including reading one out of pasted text or a photographed packing slip.
  • Edit Orders: Change existing orders, including setting their status and applying tags.
  • Delete Orders: Remove orders, and restore ones already removed, the only way back from a deletion.

Order Setup

  • Read Statuses, Tags and Filters: See the custom order statuses, tags, item attributes and filters this account defines.
  • Manage Statuses, Tags and Filters: Create, edit and delete custom order statuses, tags, item attributes and filters.

Stores

  • Read Stores: See connected stores, what each supports, and the history of orders imported into them.
  • Manage Stores: Connect, edit, and disconnect stores, and run imports. Disconnecting a store stops orders arriving from it. Importing also requires order create and edit permissions too.

Reports

  • Read Reports: Run revenue, shipment, and item reports, and read the dashboard arrangement.
  • Arrange the Dashboard: Save and reset which widgets the dashboard shows. Nothing here changes a report’s data.

Customers

  • Read Customers: See customers, including their email addresses, phone numbers, store IDs, and order totals. Listing a customer’s orders also needs order read permission.
  • Manage Customers: Merge two customers into one and split orders off into a new customer.

Define the Orders a User Can Access

While this step is optional, it is a powerful tool for defining what a new user can access. Using conditions, the Orders section lets you clearly specify which orders the user can view and access.

Drill Down on the Orders You Need

Did you know that Postsale's conditional logic lets you drill down to exactly the orders you need? You can define orders that include specific items, certain notes, have a shipping or return label, contain a specific type of charge, have specific shipment settings, or are for a certain store, and more.

Learn more about using and configuring conditions in our help articles.

According to the real-world example above, we need to clearly define that this user can ship only orders with a certain group of SKUs. The Orders section lets you do exactly that. In the image below, the Orders section is configured to specify that the new user can only view orders that contain items with a SKU beginning with "FF-".

A condition is shown that limits orders to items with a SKU beginning with FF-.

Here's an example of what the Postsale account owner sees when logged in (top image) versus what a logged-in user with defined order conditions sees (bottom image). The owner can view all orders, while the user can only view the 10 orders containing a SKU that begins with "FF-".

What the owner sees.

All orders are shown for the owner.

What the user sees.

Only the user's defined orders are shown.

To set up your own order condition(s):

  1. Enable Only Orders Matching Conditions.

The Only Orders Matching Conditions option is enabled.

  2. Click Add Condition and define the conditions that must be met for the user to have access to the orders.

Add Condition has been clicked, showing the condition options.

Define the Filters a User Can See

This is also an optional step. However, it's another powerful way to limit the orders a user can view and access. By enabling the Filters option, you can specify that the user can view only the orders within a folder you created in your filters list.

More About Filters and Folders

Filters help you organize your orders so you can quickly access the orders you need with a single click. A Filter displays only the orders that match the criteria you define, and you can create as many Filters as your workflow requires.

Think of a Filter as a saved Advanced Search. Instead of rebuilding the same search each time, you simply click the Filter, and the matching results appear in the Orders Grid. You can organize your filters into Folders.

Learn more about creating and organizing filters in our help articles.

According to the real-world example above, we need to limit the user so they can only view and access orders that belong to the Fern & Field Goods store. Since our filters list includes a folder that contains only orders in various statuses for the Fern & Field Goods store, we can give the new user access to that folder only.

To specify a folder for the user:

  1. Enable Only Filters in a Folder.
  2. Select the folder you want to allow the user to access.

The Only Filters in a Folder option is enabled, and the Fern & Field Goods folder is selected.

In the image above, we have granted access to the Fern & Field Goods folder. As you can see, the folder contains three filters for orders that are in different statuses: Ready to Ship, On Hold, and Shipped. The new user will have access to all three filters in the folder.

Here's an example of what the Postsale account owner sees when logged in (left image) versus what a logged-in user with defined folder access sees (right image). The owner can view all filters and folders, while the user can only view the three filters contained in the Fern & Field Goods folder.

All filters and folders are shown for the owner.

What the owner sees.

Only the three filters in the Fern & Field Goods folder are shown for the user.

What the user sees.

Send the Invite

Now that you have configured the new user and defined the permissions, orders, and filters the user can access, you are ready to send the invite.

  1. Click the Send Invite button.
An email is sent to the email address you entered when setting up the new user.

The Send Invite button is highlighted.

The new user will appear in your user list with a status of Invite sent.

The new user is shown with a status of Invite sent.

  2. Let the new user know they will receive the email and should follow the steps to create a password so that they can log in.
The link is valid for seven days.

Example of the email sent to a new user.

Once the new user has followed the steps in the email, the status changes to show the user is now active.

The status is now shown as Active for the new user.

Edit Users, View User Activity, Remove a User

View a user's activity, edit a user's permissions, or remove a user. Here's how:

  1. Open Settings and select Account Settings.

    Settings, account settings is selected.

  2. Select Users.

    Users is selected.

View a User's Activity

Open a user's audit log details to view the activities a specific user has performed in Postsale.

  1. Click View activity for the user.

The View activity button is highlighted.

The audit log opens for the user.

  2. Select any activity to view additional details about the activity.

The Audit Log is shown with one activity selected.

Edit a User's Permissions

You may need to edit a user's permissions or access when their role changes, they take on additional responsibilities, or some permissions need to be restricted. Here's how:

Changes Take Effect Right Away

When you click Save Changes, the permission and access changes take effect within a minute for the user. If the user is logged into Postsale, any additional access or restrictions take effect right away, and their Postsale instance refreshes to reflect the changes.

  1. Click Change access for the user.

The Change access button is highlighted.

  2. Modify the permissions and access for the user. Then, click Save Changes.

Permissions are being modified and the Save Changes button is highlighted.

Remove a User

You can remove a user from your account at any time, for example, when a user no longer needs access to your Postsale account.

Changes Take Effect Right Away

As soon as you click Remove, the user loses access. If the user is logged into Postsale, they are logged out and can no longer log back in to Postsale. Any orders, shipments, and labels they created will remain in your account.

  1. Click Remove from account for the user.

The Remove from account button is shown.

  2. Confirm that you wish to remove the user from your account.

The Remove from this account confirmation message is displayed with the Remove button highlighted.
