Before We Begin What You Should Know Bulk Update Your Orders 1 - Update Your File Helpful Tip 2 - Update the Map and Import the File Helpful Notification

Orders imported into Postsale from a Comma-Separated Values (CSV) file can include tags in the import. You can also bulk-update orders you have already imported by importing a new file with the tags you want to add.

This article focuses on adding tags to your original import file, updating the import map to include tags, and importing the file to update your existing orders.

Before We Begin

In this article, we assume that:

  • You have already imported orders into Postsale from a CSV file and that you have the original file used to import your orders. You will need access to this file to make the necessary changes and reimport it. If you no longer have the original import file, see Import a File: Update Existing Orders for information on creating a new file to import.
  • You have already added the tags you want to associate with your orders. The tags must be added to Postsale before mapping and importing your import file. Learn more about adding and managing your tags.
  • You are logged into Postsale as the account owner. Only the account owner can edit import mapping.

What You Should Know

Postsale needs to know which orders it should update when importing a CSV file. It does this by matching the Order Number and the Order Source columns in your file to the Order Number and Source associated with the orders in Postsale. If Postsale finds a match, the order is updated with the information contained in your file.

Be sure that the CSV file you update and import contains the Order Number and Order Source columns for the orders you wish to update.

A file with the order source and order number columns is shown.

Bulk Update Your Orders

1 - Update Your File

First, update your file with the information you want to import. We suggest making a copy of your original file. Then work in the copy so that the original file and its contents remain untouched.

Add Tag Columns to Your File

Update your import file to include a new column for each tag you want to import and associate with orders in Postsale. In our example, we want to import two tags: Insured and Sales Rep. We added two new columns, one for each tag.

  • You can use any text you wish for the column heading. We named ours Tag_Insured and Tag_Sales Rep.
  • Tags with no value: Tags with no value get imported into Postsale as the tag's name.
    • Yes = import the tag with the order
    • No (or blank) = do not import the tag with the order
  • Tags with a value: Enter the value you want to associate with the tag for each order.
    • In our example, the Tag_Sales Rep column will import the tag as Sales Rep:ID1234, with each row importing its own value.

Two columns of the sample file are shown: Tag_Insured and Tag_Sales Rep. Insured is a Yes/No field and the Sales Rep has actual values.

Be sure to save your updated file. Next, we will look at how to update your import map to include the tags and import the file.

Helpful Tip

You only need to update the rows for the orders you wish to be updated. For any orders you do not wish to update, you can either:

  • Leave the data for those orders as-is
  • Delete the order rows from the file

See our Format Your File for Success help article for information on how to be sure your file is formatted correctly.

2 - Update the Map and Import the File

Update the Map

Next, we will ensure the new tag columns in your import file are mapped correctly, then import the file to add the tags to your orders.

  1. Open Postsale and select Import from the Toolbar.

Import is highlighted in the Order Actions Menu.

  2. Select your import file and open it in the Import Orders pop-up.

An import file has been selected and is being opened into the Import Orders pop-up in Postsale.

  3. From the Select Store drop-down, select the store to import the file into.
    • When you select the file, Postsale will automatically attempt to map any unmapped fields for you. When successful, you will see 100% match indicated, and you can move on to the Import the File section below this one.
    • Don't see 100% match? Continue with step 4 to manually map your tag fields.

The Fern & Field Goods Import store is selected and a 100% match is shown.

  1. Select Edit Mapping.
    The mapping screen will open.

    Edit Mapping is being clicked.

  2. Select Tags.

Tags is selected from the list of sections.

  3. Click + Add.

+ Add is highlighted and being clicked.

  4. Choose a tag from the Choose a tag drop-down.

The Insured tag is selected from the Choose a tag drop-down.

  5. Select the column in your import file from the Column drop-down that corresponds to the tag.

The Tag_Insured column is being selected from the list of available columns in the import file.

  6. Select Add Tag.

Add Tag is highlighted and being clicked.

The tag is added and shown in the list of tags.

The new Insured tag is shown as mapped.

  7. Repeat the same process for each tag you need to import.

Two tags are now shown as being mapped.

  8. Click Save Map once all of your tags are mapped.

The Save Map button is highlighted.

Import the File

Now that you have verified the mapping is correct, you can import the file.

  1. Click the Import Orders button.

The Import Orders button is being clicked.

    Helpful Notification

Once the import is complete, the Import Complete notification lists the number of new orders that were imported and the number of orders already in Postsale that were updated.

Click Show Orders to quickly view the orders included in the import.

The Import Complete notification is open and the Show Orders link is highlighted.

  2. Open any of the orders in the Order Editor to view the associated tags.

The tags are shown in the Tags section of the Order Editor.
