Search for Orders & Create Filters
Search for your orders using quick and advanced searches. Save your searches as Filters for quick access.

Use Postsale’s search functionality to find orders with a Quick Search, a Natural Language Search, or to create an Advanced Search when you need to drill down on groups of orders that match specific search criteria. Then, save your search as a Filter in the Orders Menu.
In this article, we will search for a specific order using the Quick Search option, use natural, plain language to build a search, and create an Advanced Search by defining specific search criteria. We will also save searches as a Filter so we can run them at any time with a single mouse click.

Perform a Quick Search
Postsale's Search Bar allows you to quickly find an order within the currently selected Filter. Notice that when you select a Filter in the Orders Menu, the search bar description updates to show it will search within the selected Filter.

You can perform a Quick Search to locate orders with matching information in the following fields:
- Order Number
- Ship To First, Last, and Full Name
- Bill To First, Last, and Full Name
- Tracking Number
Here's how:
- Select the Filter to search in from the Orders Menu.
For this example, we selected the All Orders filter to search all orders in Postsale.

- Make sure that Quick Search is selected. Then, enter your search into the Search Bar.
Results of your search are displayed in the Orders Grid.
Perform a Natural Language Search
Natural Language Search allows you to enter what you are looking for in plain language directly into the Search bar. Postsale then uses AI to automatically build an Advanced Search based on your input.
This is especially helpful when:
- You are not sure which field in Postsale contains the data you need
- Your search needs to include multiple criteria, such as Order Source, Order Status, item details, or a date range, but you are not sure how to configure an Advanced Search
- You want to save time by simply typing what you are searching for

Real-World Example
I am trying to find four orders for our Dog Saver Promo store with an order date between 03/01/2026 and 03/31/2026 that were voided.
Let's look at how to use the Natural Language Search to quickly search for these orders:
- Select the All Orders filter.
This ensures that all orders will be included in the search.
- Select the Natural Language Search option in the Search bar.

- Using plain language, type what you are searching for into the Search field.
For our example, we typed:
All voided orders for store Dog Saver Promo with a date between 03/01/2026 and 03/31/2026
The search results are displayed in the Orders Grid.
View the Search Criteria
You can view the search conditions and criteria that the Natural Language Search created for you by selecting the Advanced Search option in the search bar.

Perform an Advanced Search
Use Advanced Search any time you need to be much more specific with your search, when you need to search using criteria not available in Quick Search, or when you want full control over how your search is designed.
Advanced Search Logic
In this article, we will use Conditions to tell Postsale what criteria the orders must match to show up in the search results.
Postsale’s conditional logic supports Condition Groups, sub-groups, and flexible AND / OR logic, allowing you to build highly specific Advanced Searches tailored to your business.
Real-World Example
We fulfill orders for St. Louis Dog Saver as well as for several other companies. To make it easier to find the orders that need to be shipped for St. Louis Dog Saver, we will do an Advanced Search for:
- Orders that were imported specifically for the Dog Saver Promo
- Orders that have not yet been shipped
Of course, your search requirements may differ. However, walking through this example together should give you the knowledge to set up Advanced Searches tailored to your workflow.
Let's create the Advanced Search:
- Select All Orders in the Orders Menu.
Selecting All Orders ensures that no criteria have already been added to your search.
- Select the Advanced Search option in the Search Bar.
- Click Add a Condition and select Condition.

Next, we will specify that we only want orders for STL Dog Saver by telling Postsale to find orders with an Order Source of Dog Saver Promo. Here’s how:
- Click the Field drop-down menu and select Order Source.
This tells Postsale to look specifically at the order source information associated with each order.
- Leave the Operator drop-down set to Equals, since we will be entering the exact value we wish to search for.

- Enter the search term into the Value field.
For this example, we entered ‘Dog Saver Promo’ because we know that all STL Dog Saver Orders use this as the order source.
Your Condition should look like this:
- Click the Save button to apply the Condition to the search.
The Condition is added to a Group in the Advanced Search, and the search results are displayed in the Orders Grid.

Now, let's narrow the results further to orders that have not yet shipped. We will do this by searching for orders with unprocessed shipments. Here's how:
- Click the Add button located just below the Condition you just created. Then, select Condition.
This will add the Condition to the same Group as the first condition.
- Select Shipment Status from the Field drop-down menu.
- Leave the Operator as Equals. Then, select Unprocessed from the Value drop-down menu.
The Condition should look like this:
- Click the Save button.
The search criterion is added to the Advanced Search, and the search results are updated in the Orders Grid.
Save a Search as a Filter
Save your Natural Language and Advanced Searches as Filters that appear in the Orders Menu so that you can repeat the search any time, just by selecting the Filter. Here's how:
- Click the Save As link.

- Click the magnifying glass icon and select an icon for this Filter.
The icon will be displayed next to the Filter in the Orders Menu.
- Enter a name for your Filter into the Name field. Then, click Save.
Your search is saved as a Filter in the Orders Menu. Click the Filter at any time to view the search results. 
Organize Your Filters

Edit or Delete a Saved Search
- Select the Filter you wish to edit in the Orders Menu. Then, click the Advanced Search button in the Search Bar.
- Click the Edit icon.

- Make the necessary updates and click Save.
Or click Delete to delete the Filter. Then confirm that you wish to permanently delete the Filter.
Deleted filters cannot be restored.
